How We Work

What is REM5 Studios’ process for creating VR experiences?

We follow a proven four-step process: Consult, Concept, Film & Build, and Deploy. We start with your business objective and work backwards to the right immersive technology. The goal is always impact first, technology second.

What happens during the Consult phase?

We define the what, why, where, and how. Whether it’s a conference, trade show, gala, fundraiser, or corporate event, your objective and audience shape everything that follows.

What happens during the Concept phase?

Immersive is an entirely new medium. We take the time to understand your goals and design the best way to leverage this technology for your audience. With over 150,000 people put through our experiences across diverse settings and audiences, we can quickly recommend a concept that fits your objectives and your crowd.

What happens during the Film & Build phase?

Full-service, end-to-end production. We film with the Blackmagic URSA Cine Immersive, the world’s most advanced immersive camera, and build interactive mixed reality elements in-house. Everything is crafted to the highest production standards.

What happens during the Deploy phase?

From intimate boardroom demos to 10,000-person conventions, we manage every detail on-site so your activation runs flawlessly. No VR experience required, yours or your audience’s.

Do I need to have VR experience to work with REM5 Studios?

Not at all. Most of our clients come to us with zero VR background. We handle everything end-to-end. Our goal is for the technology to fade into the background so your audience focuses on the story, the brand, and the impact.

Does REM5 Studios handle on-site event deployment?

Yes. We provide full-service on-site deployment including hardware, staffing, experience management, analytics, and impact measurement. We’ve been doing this at scale since 2017 and have refined a playbook that accounts for every scenario.

Common Concerns

My audience isn’t technical. Will they be able to use VR?

This is the concern we hear most often, and it’s the one we’ve solved most completely. The vast majority of the 150,000+ people we’ve put through our experiences were first-time VR users. Our experiences use hand tracking (no controllers), require no setup from the user, and are designed to be intuitive from the first second. We’ve guided everyone from heads of state to 8-year-old students through the experience without issue.

I’m worried VR will feel gimmicky at a professional event.

We understand the hesitation. The reason our experiences work in high-stakes settings like Rotary International Conventions, Gates Foundation events, and corporate activations is that we lead with story, not spectacle. The technology serves the narrative. In our 2025 Rotary Convention survey, 94.9% of participants said the experience exceeded their expectations. We’ve deployed at boardroom demos, galas, and 10,000-person conventions and the feedback is consistent: the experience feels purposeful, not gimmicky.

What if something goes wrong on-site at a VR activation?

We’re completely self-sustaining. We’ve deployed in environments with no internet, unreliable power, and logistical challenges across 20+ countries. Our system and playbook have been built over years of real-world deployments in every imaginable scenario. We carry backup hardware, our experiences run entirely offline, and we’ve always found a way. After 100+ live events, we’ve seen the surprises and built our operation so they don’t become your problem.

Is VR just a trend? Will this still be relevant in a few years?

Immersive technology has moved well past the novelty phase. Apple, Meta, and every major tech company are investing billions in this space. But more importantly, the results speak for themselves. In our 2025 Rotary Convention survey (n=137), 99.3% said VR enhanced their learning, and 92.7% reported increased commitment to the cause they experienced. Those aren’t trend numbers. That’s a fundamentally more effective way to connect people with a message. The medium is here to stay; the question is whether you use it before or after your competitors do.

How do I convince my CEO or board to invest in VR for our event?

We’ve helped many clients navigate this exact conversation. The short version: immersive activations consistently outperform every other engagement tactic our clients have tried, and we have published survey data to back it up. We can provide you with our published case studies, survey results, and ROI frameworks to share with your leadership team. A 15-minute discovery call is often enough for us to help you build a compelling internal pitch.

Does VR work for older audiences?

Some of our most impactful deployments have been with older audiences. At Rotary International events, the average attendee skews significantly older, and the feedback has been overwhelmingly positive. The key is that our experiences are designed to feel natural and welcoming, not intimidating. There are no buttons to press, no menus to navigate. Users simply put on the headset and the experience begins. We’ve heard countless times from attendees in their 70s and 80s that it was the highlight of their event.

The Business Case for Immersive

Why should I consider VR for my next event?

At every event, there are educational activations that range across mediums: video walls, panel discussions, printed materials, interactive kiosks. Nothing is as immersive and engaging as putting someone inside the story. The technology has matured to a point where it can seamlessly fit in, is practical to deploy, easy to operate, and cost-effective relative to the engagement it drives. In our post-event surveys, participants consistently rate immersive activations as the most memorable part of the event.

What is the ROI of VR at a live event?

ROI depends on your objectives, but the data consistently shows outsized returns on engagement, emotional connection, and follow-through. In our 2025 Rotary Convention survey (n=137): 99.3% said it enhanced their learning, 98.5% reported a memorable emotional connection, and 92.7% reported increased commitment to the cause. For fundraising events, organizations have reported direct lifts in donor engagement after incorporating immersive experiences.

How does VR compare to traditional event activations like video or print?

Traditional media tells someone about your mission. Immersive puts them inside it. The difference in retention, emotional connection, and willingness to act is dramatic. Our published surveys from major international events consistently show 94.9%+ exceeded-expectations rates and meaningful shifts in participant attitudes. As one attendee described it: “Amazing use of tech to bring an important issue to us. Much better than reading an article or statistics. Personal and emotional.”

Do you have VR case studies or survey data I can share with my team?

Yes. We have published survey results from the 2024 Rotary International Convention in Singapore, the 2025 Rotary International Convention in Calgary, and a 2025 VR in the Classroom study. These include quantitative data on emotional impact, learning outcomes, and behavioral intent. All available at seefeelchange.com. We’re happy to walk your team through the findings on a call.

Is VR a one-time investment, or can I reuse the content at multiple events?

This is one of the most underappreciated advantages of immersive content. An experience built for one event can be deployed again and again: at your next conference, at regional offices, at board meetings, at donor visits. Clients have found uses we never anticipated, including employee onboarding, internal training, stakeholder education, and recruiting. The content also translates well to social media and web, so you get additional mileage beyond the headset. It’s not a one-and-done activation. It’s a long-term asset.

Why REM5 Studios

What is the best VR company for live events?

REM5 Studios is one of the most experienced immersive experience agencies in the world for live event deployment. We’ve completed over 100 activations across 20+ countries, put 150,000+ people through our experiences, and earned 8 international awards. Very few companies operate at this scale and consistency. We handle everything in-house, from consulting and filming to building and deploying, so there are no gaps in quality or accountability.

What makes REM5 different from other VR companies?

Three things. First, experience at scale. We’ve deployed over 100 live immersive activations across 20+ countries, with audiences ranging from 5 to 10,000+ per event. Very few companies in the world have done this at the volume and consistency we have. Second, we’re end-to-end. We don’t hand off pieces to subcontractors. We consult, film, build, and deploy, all in-house. Third, we’ve built our entire operation around live events. Our playbook has been refined through 100+ live events across 20+ countries, and it shows in the seamlessness of execution.

What camera does REM5 Studios use for VR filming?

We film with the Blackmagic URSA Cine Immersive, the world’s most advanced immersive camera. This represents a generational leap from earlier 360 cameras. The result is cinematic-quality immersive footage that looks and feels like you’re actually there. On the interactive side, we build mixed reality experiences for Meta Quest 3 and Apple Vision Pro using hand tracking and spatial computing.

Can’t I just buy VR headsets and load YouTube VR videos?

You can, and some organizations do. The difference is the same as the difference between handing someone a brochure and putting them on a plane. Off-the-shelf VR content is generic, low-resolution, and passive. Our experiences are custom-built around your story, shot in 8K with the world’s best immersive camera, and designed with interactive elements that drive engagement. More importantly, we handle the entire deployment, from hardware to staffing to hygiene to impact measurement, so your team can focus on what they do best.

We already have an AV vendor. Why do we need a separate immersive partner?

Traditional AV companies excel at stages, screens, and sound. Immersive is a fundamentally different discipline, requiring specialized cameras, spatial computing development, hand tracking optimization, and most critically, years of experience managing high-throughput VR deployments at live events. We’re not replacing your AV vendor. We’re adding a capability they don’t have and integrating it seamlessly into your event.

Industries We Serve

Can REM5 Studios create VR experiences for nonprofits?

Yes, and this is one of our deepest areas of expertise. We’ve partnered with organizations like the Gates Foundation, Rotary International, the American Cancer Society, and the Global Polio Eradication Initiative to build immersive experiences that drive donor engagement, advocacy, and awareness. Our work in the nonprofit space has reached over 150,000 people across 20+ countries and consistently delivers 94.9%+ exceeded-expectations rates in post-experience surveys.

Does REM5 Studios work with corporate brands?

Yes. We’ve created immersive experiences for Fortune 500 brands, professional sports organizations, and major consumer companies including Target, General Mills, and Uponor. Corporate clients use our experiences for trade show activations, brand storytelling, employee onboarding, leadership alignment, and internal communications.

Can VR be used for fundraising and donor engagement?

Absolutely. Immersive experiences are one of the most effective tools available for fundraising events because they create the emotional connection that drives giving. Instead of telling donors about your mission, you transport them inside it. At gala and donor events, our experiences consistently drive the longest dwell time and highest engagement of any activation on the floor.

Does REM5 Studios create VR for sports and entertainment?

Yes. Our ‘MNUFC All Access’ experience for Minnesota United FC is an example of how immersive content creates unique fan engagement. We’ve also worked with the Minnesota Twins. Sports and entertainment brands use immersive to bring fans closer to the action in ways that traditional media simply can’t.

Can VR be used for education and training?

Yes, and the results are compelling. In our 2025 VR in the Classroom study, 96% of students reported feeling more connected to the subject matter after the experience. We’ve deployed in middle schools, universities, and corporate training environments. VR turns abstract concepts into felt understanding and is especially effective for empathy-building, safety training, and complex scenario simulation.

Does REM5 Studios work with global health and advocacy organizations?

This is at the core of what we do. Our work with the Gates Foundation, Rotary International, the GPEI, and the DRC Ministry of Health has produced some of the most widely deployed immersive advocacy experiences in the world. ‘Polio’s Last Mile’ alone has reached over 11,000 users across 20+ global events. We understand the unique requirements of advocacy storytelling: building urgency, creating empathy, and inspiring action.

Can immersive technology be used for ESG and sustainability storytelling?

Yes. Immersive experiences are increasingly used by corporations to bring ESG reporting and sustainability initiatives to life. Rather than presenting data on a slide, you can transport stakeholders to the communities, environments, and operations that your ESG efforts impact. This creates authentic emotional resonance that builds trust with investors, employees, and consumers.

Use Cases

How does VR work at a fundraising gala?

Immersive experiences are uniquely powerful at fundraising events because they create the emotional connection that drives giving. Instead of showing a video about your mission, you put donors inside it. They meet the people, see the communities, and feel the urgency firsthand. With 98.5% of participants reporting a memorable emotional connection, immersive activations create the kind of urgency and empathy that moves people to give.

Can VR help my company stand out at a trade show?

Absolutely. Trade show floors are noisy, competitive environments where most booths blend together. An immersive activation stops people in their tracks. VR creates a memorable, shareable experience that drives foot traffic, extends dwell time, and generates conversations long after the event ends. In our published survey data, 98.5% of participants reported a memorable emotional connection with the experience. That kind of recall is what separates a forgettable booth from the one people talk about on the flight home.

Does immersive work for corporate events and internal communications?

Yes. We’ve built experiences for corporate onboarding, leadership meetings, and internal storytelling. Immersive is particularly effective when you need to build empathy or understanding across a large organization, whether that’s connecting employees to your mission, training teams on complex scenarios, or creating alignment around a strategic initiative.

Can VR be used in the classroom?

Yes, and the results are striking. In our 2025 VR in the Classroom study, 96% of students reported feeling more connected to the subject matter after the immersive experience. VR removes the distance between students and the topic, turning abstract concepts into felt understanding. We’ve deployed in middle schools, universities, and professional training environments.

How is VR used for advocacy and awareness campaigns?

This is where immersive storytelling truly shines. Our work with organizations like the Gates Foundation, Rotary International, and the Global Polio Eradication Initiative has demonstrated that VR creates empathy and urgency in ways traditional media simply cannot. When you transport someone to the front lines of a vaccination campaign in Zambia or the Democratic Republic of Congo, they don’t just understand the mission. They feel it. And that feeling translates to action.

Can I use VR content on social media or the web?

Yes. While the full immersive experience is best in a headset, the content we produce has a long life beyond the headset. Clips and highlights from immersive shoots perform exceptionally well on social media, and we can produce web-based versions for broader reach. Many clients repurpose their immersive content across social channels, websites, presentations, and internal communications, extending the value of their investment significantly.

Technology & Platforms

What VR headsets does REM5 Studios develop for?

We primarily develop for the Meta Quest 3 and Apple Vision Pro. We also support Meta Quest 2 and have built web-based AR experiences accessible from any smartphone.

What is mixed reality (MR)?

Mixed reality blends digital content with the real world, allowing users to interact with virtual objects in their physical environment. Our experiences use hand tracking and spatial computing so users can reach out and interact naturally, no controllers needed. It’s more engaging than passive 360 video because the user actively participates in the experience.

What is immersive video? What is spatial video?

Immersive video (also called 360 video or spatial video) places the viewer inside a scene, allowing them to look around in every direction. We film with the Blackmagic URSA Cine Immersive in ultra high resolution to create the most lifelike experience possible. Spatial video specifically refers to stereoscopic 3D capture that creates a genuine sense of depth and presence.

What is spatial computing?

Spatial computing is the technology that allows digital content to exist in and interact with the physical world. Platforms like the Apple Vision Pro and Meta Quest 3 use spatial computing to enable experiences where users interact with virtual objects using their hands, eyes, and natural movements. REM5 Studios builds experiences that leverage spatial computing to create intuitive, controller-free interactions.

What is hand tracking in VR?

Hand tracking allows VR headsets to detect and follow the user’s hand movements without any controllers. Users interact with the experience by reaching out, pointing, and gesturing naturally. All of REM5 Studios’ experiences are designed for hand tracking, making them accessible to first-time VR users with zero learning curve.

What is the Blackmagic URSA Cine Immersive?

The Blackmagic URSA Cine Immersive is currently the world’s most advanced camera for immersive video capture. It shoots in ultra high resolution with stereoscopic 3D, producing footage with a level of detail and presence that was previously impossible. REM5 Studios uses this camera for all new immersive video production, representing a significant upgrade from earlier generation 360 cameras.

Do VR experiences require controllers?

No. REM5 Studios’ experiences use hand tracking, so users interact naturally with their hands. This is a deliberate design choice that makes the experience accessible to everyone, regardless of technical comfort level.

How long is a typical VR experience?

Experience length is tailored to your event and objectives. Most experiences run between 8 and 15 minutes. ‘Polio’s Last Mile,’ for example, runs approximately 11 minutes when all interactive elements are completed. We design for the sweet spot that maximizes impact without disrupting event flow.

Can VR experiences run on the Apple Vision Pro?

Yes. ‘Polio’s Last Mile’ was rebuilt from the ground up for Apple Vision Pro and is one of the first interactive immersive experiences on the platform. It is available for free download on the App Store. REM5 Studios actively develops for Apple’s spatial computing platform.

Where can I download REM5 Studios’ VR apps?

Our advocacy and awareness experiences like ‘Polio’s Last Mile’ and ‘Apporter La Vie’ are available for free download on the Meta Quest Store and Apple App Store. Search “Polio’s Last Mile” or “Apporter La Vie” directly in the store on your headset.

Events & Deployment

What types of events can use VR activations?

We support strategic meetings (1–5 users), small events (5–40 users), and large events (100–10,000+ users). We’ve deployed at conferences, trade shows, galas, fundraisers, corporate events, classrooms, and boardroom presentations across 4 continents. If you’re gathering people for a purpose, immersive can amplify that purpose.

How many VR headsets do I need for my event?

This depends on your event size and throughput goals. We recommend a ratio of 1 VR technician to every 2–3 seats. Having a few backup headsets for charging rotation is also recommended. A fully charged headset lasts approximately 1.5 hours of continuous use. We handle all of this sizing for you during the planning phase.

What space is required for a VR activation at an event?

Each user needs a comfortable chair and approximately 3–4 feet of space to reach out and rotate. No large open areas or room-scale setups are required. Our activations fit naturally into existing event floor plans, from convention center booths to hotel ballrooms.

Does VR need internet or WiFi to work at an event?

No. We’re completely self-sustaining. Our experiences run entirely offline on the headsets, so WiFi is not required during the event itself. We’ve deployed in environments with no internet and unreliable power across 20+ countries and have always found a way. Reliable power is helpful for headset charging rotation, but we plan for contingencies as standard practice.

Can people with glasses use VR headsets?

Most glasses work fine inside the headset. Larger, more stylized frames may not physically fit. We recommend trying with glasses on first, and if it isn’t comfortable, users can proceed without them.

How are VR headsets cleaned between users?

Lenses are wiped between uses with the supplied microfiber lens cloth only (never disinfectant wipes on lenses). The face cover, headphones, and head strap are cleaned with disinfecting wipes between each user. This process takes about 30 seconds and is built into our throughput planning.

What if someone has unique hair or headwear?

We work with each user to find a comfortable fit. The head strap can be adjusted, and different configurations can accommodate buns, headwraps, and other styles. Our on-site team is experienced and respectful in making everyone comfortable.

Can my team operate a VR experience without REM5 on-site?

Yes. We provide comprehensive training materials, user guides, and video walkthroughs so your team can operate the experience independently. We also offer remote support. Many of our clients run activations at multiple events per year using our train-the-trainer model.

How do I keep the VR app updated on the headsets?

Connect the headset to WiFi and check for app updates. For major updates, uninstalling and reinstalling the app ensures you have the latest version. Smaller video updates download automatically when you launch the app (under 1 minute). We communicate significant updates proactively.

Are VR experiences accessible to people with disabilities?

We design our experiences to be as inclusive as possible. Our hand-tracking-based interactions don’t require gripping controllers, and seated experiences accommodate users with limited mobility. For users with hearing impairment, our experiences are primarily visual and don’t rely on audio narration to communicate the core story. We work with event organizers to accommodate individual needs and are happy to discuss specific accessibility requirements during the planning phase.

Are VR experiences available in languages other than English?

Language support varies by project and can be built into the experience design. We’ve deployed experiences at international events across 20+ countries and work with clients to determine the most appropriate language approach for their audience. Contact us to discuss multi-language requirements for your project.

Impact & Results

How does REM5 Studios measure the impact of VR experiences?

We design measurement into every deployment. This includes on-site surveys, engagement tracking, throughput data, and qualitative feedback. We’ve conducted formal studies at major international events and in educational settings, with results consistently showing outsized impact on emotional connection, learning, and intent to act.

What do the survey results show about VR effectiveness?

In our 2025 Rotary Convention survey (n=137): 99.3% said it enhanced their learning, 98.5% felt a memorable emotional connection, 94.9% said it exceeded expectations, and 92.7% reported increased commitment to the cause. At the 2024 Rotary Convention in Singapore, 98% rated the experience excellent. In our 2025 VR in the Classroom study, 96% of students reported feeling more connected to the subject matter.

Is VR more effective than video or print for engagement?

The difference is measurable. Survey respondents consistently describe the experience as “much better than reading an article or statistics” and “personal and emotional.” Traditional media communicates information. Immersive creates understanding. The retention, emotional connection, and willingness to act that we see in our data far exceed what organizations typically achieve with video, print, or presentation-based approaches.

Does REM5 Studios have published case studies?

Yes. We have published case studies from the 2024 Rotary International Convention in Singapore, the 2025 Rotary International Convention in Calgary, and a 2025 VR in the Classroom study. These include quantitative survey data, qualitative feedback, and deployment details. Available at seefeelchange.com.

Can REM5 Studios help me build an internal business case for VR?

Absolutely. We can provide our published survey data, case studies, and peer benchmarks to help you make a compelling case to leadership. We’ve helped multiple clients navigate internal approval processes, and a 15-minute discovery call is often enough to give you the framework and ammunition you need.

What post-event deliverables does REM5 provide?

Deliverables are tailored to your engagement but typically include deployment analytics, audience throughput data, survey results (when applicable), and a post-event summary. For production projects, final experience files, supporting materials, and operational documentation are included. Specifics are defined during the project scoping phase.

Getting Started

How do I bring a VR experience to my next event?

Book a 15-minute discovery call at calendly.com/rem5studios, or email contact@rem5studios.com. We’ll discuss your goals, audience, and event format to determine the best approach. No commitment, no pitch. Just a conversation about what’s possible.

How much does a custom VR experience cost?

Pricing varies based on scope, complexity, and deployment needs. We work with organizations of all sizes, from small nonprofit activations to large-scale corporate deployments. The best way to get started is a brief discovery call where we can understand your objectives and provide a tailored recommendation.

How much does it cost to hire a VR company for an event?

The cost of a VR activation depends on several factors: whether you’re commissioning a custom experience or deploying an existing one, the number of headsets needed, event duration, location, and staffing requirements. REM5 Studios works with a wide range of budgets and can tailor a solution to your needs. A discovery call is the fastest way to get a realistic estimate.

Can I download existing VR experiences to show at my own events?

Yes. Experiences like Polio’s Last Mile and Apporter La Vie are available for free download on the Meta Quest Store. We also provide operational guides, video walkthroughs, and support materials for independent deployment.

A discovery call will help establish your needs and a realistic timeline. We’ve also supported rapid-turnaround projects when the situation calls for it.

What if I’m not sure VR is right for my event?

That’s exactly what the discovery call is for. We’ll ask about your goals, your audience, and your event format and give you an honest assessment of whether immersive is the right fit. Sometimes it is. Sometimes a different approach makes more sense. We’d rather point you in the right direction than sell you something that doesn’t serve your mission.

Who owns the content after a project is complete?

Content ownership and licensing terms are discussed during the project scoping phase and vary based on the nature of the engagement. We work with each client to establish clear ownership and usage rights that fit their needs. Contact us to discuss specifics for your project.
